The Short Answer
A .pages file is a document created by Apple. It is Apple's version of a Microsoft Word file.
When you see a file ending in .pages,
you are looking at an Apple Pages document. Apple Pages is a free app for typing and designing.
It comes already installed on every Mac computer, iPad, and iPhone. You do not have to buy it. It is entirely free for Apple users.
While Microsoft Word is mostly built for typing reports, Apple Pages is built like a blank canvas. It makes it very easy to drag pictures around, add colors, and make things look beautiful without fighting with the layout.
What are they used for?
Resumes
Pages has beautiful built-in templates. You can make a professional resume in five minutes by filling in the blanks.
Flyers
Because you can drag photos and text boxes anywhere, it is perfect for posters, yard sale signs, and party invites.
Books
Authors use Pages to write novels. You can export a document directly into an eBook format to sell online.
Reports
Students and workers use it to make reports look clean. You can easily add graphs and charts that look modern.
How it works across devices
Apple builds its tools to talk to each other perfectly. They use iCloud (Apple's online storage) to keep your files updated everywhere at the exact same time.

The Big Problem: Windows PCs
The biggest problem with .pages files is that Windows
computers cannot read them. If you email a .pages file to a boss, teacher, or client who
uses a Windows PC, they will not be able to open it.
They will see an error message, and you will look unprofessional.
How to share your work with anyone
To prevent the Windows error, you must "Export" your document. This means changing a copy of your file into a format that everyone can read. Here is exactly how to do it on a Mac.
Click on the word File at the very top left of your screen.
Move your mouse down and hover over Export To.
Choose a new format based on your needs:
Choose PDF if:
You do not want anyone to change the text. You want the design, fonts, and pictures to look exactly how you placed them. (Best for resumes).
Choose Word if:
The other person needs to type in the document and add their own notes. (Best for team drafts).

Emergency Fix: How to open a .pages file on a Windows PC
If someone sends you a .pages file and you only have a Windows computer, you do not need to buy a Mac. You can use Apple's website to open it for free.
- Step A: Open a web browser (like Chrome or Edge) and go to iCloud.com.
- Step B: Sign in with an Apple ID. If you do not have one, you can create one for free.
- Step C: Click on the "Pages" icon on the website. Drag and drop your .pages file onto the screen.
- Step D: The file will open right in your web browser. You can read it, edit it, and even save it as a Word file from there.
A secret for computer nerds
A .pages file is not actually a single
file. It is secretly a compressed folder (like a ZIP file) in disguise.
It holds all the text data in XML code, and it contains a folder full of all the images you placed in the document.
If you ever lose a document but need to rescue the pictures inside of it, you can just change
the name of the file from .pages to .zip and unzip it. The pictures will be sitting in a folder called
"Data".

The Time Machine: Getting old work back
If you accidentally delete an important paragraph and save the file, do not panic. Apple Pages automatically saves older versions of your document in the background. You can literally travel back in time to yesterday's version.
Locking your file with a password
If you are writing something private, like a business idea or a diary, you can put a padlock on the file. If someone tries to open it, a box will pop up asking for a password.
To turn this on, click File at the top, then click Set Password. Type a strong password you will not forget. If you lose the password, not even Apple can open the file for you. It is locked forever.

You can also use your Mac's fingerprint reader (Touch ID) to open locked Pages files instantly.
Working together at the exact same time
You do not have to email versions back and forth like "Report_V2_Final_ActuallyFinal.pages". You can invite a coworker, and you will both see each other's mouse cursors typing on the screen at the exact same time.
Step 1: Click Share
Find the 'Share' button at the very top right of your Pages window.
Step 2: Send Link
Choose to send them a private link via Messages or Email.
Step 3: Watch them type
Their name will pop up in a different color while they type.

Templates vs. Blank Documents
When you open Pages, it asks if you want a Blank document or a Template. Always use a Template if you are making something that needs to look pretty (like a certificate or a newsletter). Apple's designers already picked the best fonts and colors for you. All you have to do is click their fake text and type your own words over it.
Fixing mistakes without deleting
If you are checking a coworker's essay, do not just delete their bad sentences. Turn on Track Changes.
When you delete their word, it will not disappear. Instead, a line will be drawn through it. When you add a new word, it will show up in a bright color. This lets the original writer see exactly what you changed, and they can click "Accept" or "Reject" on your ideas. Turn it on by clicking Edit -> Track Changes.
Pages can play videos
A normal piece of paper cannot play a movie. But because Pages files are meant to be read on screens, you can drag a video or an audio file straight onto the page. The reader can click a play button right in the middle of your report.
Record your own voice
You can actually record your voice directly into the document. Click Insert -> Record Audio. This is fantastic for leaving a voice note for a student or explaining a complex chart to your boss.
The File Size Trap
Pages makes it very easy to drag 20 large, high-quality photos into your document. The trap is that this makes your file incredibly heavy (often over 50 Megabytes). Most email systems will block any file larger than 25 Megabytes.
The Fix: Click File -> Reduce File Size before you email it. Apple will shrink the pictures for you so it sends instantly.
Translating words instantly
You do not need to copy text and paste it into Google Translate. If you highlight a sentence in a foreign language in Pages, right-click it, and select Translate, Apple will show you the meaning right there. You can even click one button to replace the foreign words with English words instantly.
Important rules for printing on paper
Check the Margins
Printers cannot print all the way to the very edge of the paper. Keep important text at least a half-inch away from the edges so it doesn't get chopped off.
Hide the Comments
If you used "Track Changes" or left notes for yourself, hit Print, then uncheck the box that says "Print Comments". Otherwise, your secret notes will print out for everyone to see.
