Emergency Fix: How to open a .pages file on a Windows PC

If someone sends you a .pages file and you only have a Windows computer, you do not need to buy a Mac. You can use Apple's website to open it for free.

A secret for computer nerds

A .pages file is not actually a single file. It is secretly a compressed folder (like a ZIP file) in disguise.

It holds all the text data in XML code, and it contains a folder full of all the images you placed in the document.

If you ever lose a document but need to rescue the pictures inside of it, you can just change the name of the file from .pages to .zip and unzip it. The pictures will be sitting in a folder called "Data".

If you accidentally delete an important paragraph and save the file, do not panic. Apple Pages automatically saves older versions of your document in the background. You can literally travel back in time to yesterday's version.

How to do it: Go to top menu -> Click File -> Hover over Revert To -> Click Browse All Versions. The screen will change to show a timeline of all your past saves.

Locking your file with a password

If you are writing something private, like a business idea or a diary, you can put a padlock on the file. If someone tries to open it, a box will pop up asking for a password.

To turn this on, click File at the top, then click Set Password. Type a strong password you will not forget. If you lose the password, not even Apple can open the file for you. It is locked forever.

Working together at the exact same time

You do not have to email versions back and forth like "Report_V2_Final_ActuallyFinal.pages". You can invite a coworker, and you will both see each other's mouse cursors typing on the screen at the exact same time.

Templates vs. Blank Documents

When you open Pages, it asks if you want a Blank document or a Template. Always use a Template if you are making something that needs to look pretty (like a certificate or a newsletter). Apple's designers already picked the best fonts and colors for you. All you have to do is click their fake text and type your own words over it.

Fixing mistakes without deleting

If you are checking a coworker's essay, do not just delete their bad sentences. Turn on Track Changes.

When you delete their word, it will not disappear. Instead, a line will be drawn through it. When you add a new word, it will show up in a bright color. This lets the original writer see exactly what you changed, and they can click "Accept" or "Reject" on your ideas. Turn it on by clicking Edit -> Track Changes.

Pages can play videos

A normal piece of paper cannot play a movie. But because Pages files are meant to be read on screens, you can drag a video or an audio file straight onto the page. The reader can click a play button right in the middle of your report.

Record your own voice

You can actually record your voice directly into the document. Click Insert -> Record Audio. This is fantastic for leaving a voice note for a student or explaining a complex chart to your boss.

The File Size Trap

Pages makes it very easy to drag 20 large, high-quality photos into your document. The trap is that this makes your file incredibly heavy (often over 50 Megabytes). Most email systems will block any file larger than 25 Megabytes.

The Fix: Click File -> Reduce File Size before you email it. Apple will shrink the pictures for you so it sends instantly.

Translating words instantly

You do not need to copy text and paste it into Google Translate. If you highlight a sentence in a foreign language in Pages, right-click it, and select Translate, Apple will show you the meaning right there. You can even click one button to replace the foreign words with English words instantly.

Important rules for printing on paper

Check the Margins

Printers cannot print all the way to the very edge of the paper. Keep important text at least a half-inch away from the edges so it doesn't get chopped off.

Hide the Comments

If you used "Track Changes" or left notes for yourself, hit Print, then uncheck the box that says "Print Comments". Otherwise, your secret notes will print out for everyone to see.
