Topic: .PPTX Files

SLIDE 01

What is a PPTX file?

It is a computer file used to make and show slides. You show these slides on a big screen to help people understand your ideas.

Fact: PPTX files open with Microsoft PowerPoint.
SLIDE 02

What does the "X" mean?

In the past, slide files ended in .ppt. Now they end in .pptx. The "X" stands for XML. Think of XML as a very neat, organized box that zips your words and pictures tightly together. This makes the file size small and stops it from breaking.

// How PPTX saves space:

  • [words.xml] - Takes 1 MB
  • [photo.jpg] - Takes 2 MB
  • [rules.xml] - Takes 1 MB
Zipped together: File is now much smaller!

Slide Building Blocks

A blank slide is scary. PPTX files give you layouts. Layouts are like boxes ready to be filled. You put your title in one box and your picture in another. This keeps your slides neat and clean.

Movies and Pictures

You do not need to leave your slide to show a video. You can put videos, sounds, and pictures directly onto the slide. The file holds onto them so they do not get lost.

Making Things Move

To keep people awake and looking at your screen, you can make things move. This is called animation. Words can fly in from the side. Pictures can fade away when you click a button.

Easy Numbers

A long list of numbers is boring and hard to read. PPTX lets you build charts. A chart changes numbers into shapes, like tall bars or pizza slices. This helps people see what the numbers mean right away.

Working Together

You do not need to email the file back and forth. You and your friend can open the exact same file at the exact same time. You can fix slide 1 while they fix slide 2. You will see what they type instantly.

Where We Use It

PPTX files are everywhere. They are the standard tool used across the world. Whenever a person needs to stand up and share ideas to a group, they use these files.

Business Meetings

Bosses use it to share goals with the team. It keeps the meeting on track.

Sales Pitches

Sellers use it to show big pictures of their products to get people to buy.

Classrooms

Teachers put facts on the big screen so students can copy the notes down.

Training Sessions

Companies use it to teach new workers step-by-step how to do their jobs.

SLIDE 09

Old vs. New

Why did we add the "X"? The old format was heavy and would sometimes break and delete your hard work. The new format is much safer.

Feature Old (.ppt) New (.pptx)
File Size Very Big Small & Tight
Safety Breaks easily Very Safe
Teamwork
Used Today Rarely Everywhere

Rules for Good Slides

Just because you can put a thousand words on a slide, does not mean you should. Follow these simple rules so people enjoy listening to you.

  • Use big text

Make sure people in the very back row can read the letters easily.

  • Less is more

Use a few words. You should speak the details out loud, not type them all on the screen.

  • Use big pictures

A giant, clear picture is better than five tiny, blurry pictures.

  • Do not read the slide

Never turn your back to the people to read words off the screen.

SLIDE 11

Speaker Notes

You do not have to memorize your whole speech. You can type hidden notes at the bottom of each slide. The people in the room will only see the big pictures on the TV, while you read your notes from your laptop screen.

> Do not forget to smile here.
> Ask John if he has any questions.

The Master Slide

If you want to put your company logo on every single slide, do not copy and paste it 50 times. Use the Master Slide. It acts like the boss. Whatever you put on the Master Slide automatically appears on all the other slides below it.

Sharing Safely

Sometimes you want to send your slides to someone, but you do not want them to change your words or mess up the pictures. You can save your PPTX file as a PDF document or even save it as a video file.

Save as PDF

Locks everything like a photograph. Nobody can change the words.

Save as Video

Turns your presentation into an MP4 movie that plays by itself.

Save as Images

Turns every single slide into a separate picture file.

SLIDE 14

Keyboard Magic

You can use your keyboard to control the show without clicking your mouse a hundred times. Memorize these buttons to look like a pro when you are standing in front of a crowd.

F5

Esc
Stop the show and go back to editing.
B

SLIDE 15

Screen Shapes

Old televisions were shaped a lot like squares. New TVs and laptops are wide. Before you start adding words and pictures, you must pick the shape of your slide so it perfectly fits the screen you will be using.

4:3 Shape (Old)
Widescreen
16:9 Shape (New)

Locking Your File

If your file has a secret project or money numbers in it, you can put a lock on the entire thing. Anyone who double-clicks the file will be asked for a password before they can see a single slide.

File is Locked

Enter password to open this presentation.

Paper Copies

Some people like to take notes with a real pen. You can print your slides on paper for your audience. A popular trick is to print 3 small slides on the left side of the paper, and blank lines on the right side.

The Secret Screen

When you plug your computer into a big TV, the audience sees the slide. But on your laptop, you see the "Presenter View". This secret screen shows you a giant clock, your notes, and a preview of the next slide.
