Apple Numbers is different. When you open a .numbers file, you see a blank white page.
You can drop a small table anywhere you want. You can put a picture next to it. You control the page, the page does not control you.

Help! I have a PC, but someone sent me a .numbers file!
Do not panic. You do not need to buy a Mac computer. Just follow these steps:
Go to the Internet
Open your web browser (like Chrome or Edge) and go to iCloud.com.
Sign In
Log in with a free Apple ID. If you do not have one, you can make one for free.
Drag and Drop
Click on the "Numbers" button. Drag the file you received onto the screen. It will open!

Make guest lists for parties or weddings. You can add checkboxes to mark who is coming.

How to Share with PC Friends
If you make a file on your Mac, your friends with Windows PCs cannot open it easily. You must "Export" it. This means saving it in a different language.

3 Rules for Beginners

1Start with a Template.
When you open the app, it gives you pre-made designs for budgets and lists. Use them! It is much easier than starting from nothing.

2Press the Equal Sign "=" to do Math.
If you click a box and type the "=" key on your keyboard, the app gets ready to do math for you.

3Keep it simple.
Do not try to make it look like a messy Excel sheet. Let the page breathe. Use white space.
Magic Keyboard Buttons
You do not need to click everywhere with your mouse. Use your keyboard to go faster. These are called shortcuts.
Undo Mistakes
Made a mess? Press this to go back one step. It is like a magic eraser.
Copy Things
Select a box and press this. The computer remembers what is inside the box.
Paste Things
After you copy, go to a new box and press this. It puts the copied thing there.
Working With Friends
You do not have to work alone. You can send a link to your friend. When they click the link, they jump right into your file.
You will see their name on the screen. You can watch their cursor move as they type. It is like playing a multiplayer game, but for work.

Typing numbers over and over is boring. Apple Numbers lets you drop interactive buttons into your boxes.

- Stars: Perfect for rating books or movies.
- Steppers: Click plus (+) or minus (-) to change a number easily.
Printing Without Getting Mad
Have you ever tried to print a spreadsheet, and it prints 50 pages of blank lines? Or cuts your table in half?
Numbers has a "Print View." It draws a thick line showing exactly where the paper ends. You can drag your tables around until they fit perfectly on one page.
Adding Pictures and Videos
A spreadsheet does not have to be just boring text. You can add media to make it look like a real website.

Paste a video link, and it plays right inside your document!
Going Back In Time
Did you accidentally delete everything and click Save? Do not cry! The app remembers older versions of your file.
You can click "Revert To" in the menu. A timeline will appear. You can look at how your file looked yesterday, or last week, and bring it back to life.
Locking Your Secrets
If you are keeping track of passwords, secret gifts, or money, you do not want anyone else to see it.
You can set a password on your .numbers file. Before the file opens, it will ask for a secret word. If you use an iPhone or Mac, you can even open it using your fingerprint or face scan!
Reading in the Dark
Working late? Staring at a bright white screen can hurt your eyes. Numbers supports Dark Mode.
Where Does The File Live?
When you save your file, it does not just live on your computer. It lives in iCloud. Think of iCloud like an invisible magic box in the sky.
If you lose your phone, your files are safe in the cloud.
It does not fill up your phone's memory. It stays light and fast.
3 Things You Should Never Do
In Excel, you use one big sheet for everything. In Numbers, you should break things up. Make one small table for Income, and a separate small table for Expenses.
If your friend uses a Windows PC, they cannot click a .numbers file. You must save it as a PDF or Excel file first, or they will be very confused!
Because you can move things anywhere, it is easy to accidentally drop a picture on top of your math table. Be careful where you place things!
